Summary

The Construction Coordinator is responsible for coordinating and ensuring ongoing communication between all department and managers as needed in the construction process. The Construction Coordinator maintains files for the Construction Department, serves as a resource to team members, and verifies all data and documents issued to team members. The Construction Coordinator serves as the administrator during the construction process and is responsible for processing all paperwork related to all aspects of Construction or Operations.

        Prepare and maintain accurate job files consisting of materials and paperwork to be included in the start package, as needed

        Coordinate landscape plans, pool plans, file copy plans

        Schedule various field inspections

        Update management on construction status

        Attend to Management and Construction Manager requests and provide useful information in a prompt and courteous manner

        Deliver timely documents to initiate projects

        Respond within 24 hours to all requests for information from Managers and team members

        Assist the Closing Department with any information needed to close the property seamlessly, strive to minimize mistakes 

        Maintain accurate and timely logs of phone conversations and meetings with Construction Managers and team members

        Input, monitor and track all information in BuildPro software pertaining to assigned projects

        Ability to manage multiple projects and assignments with superb accuracy

        Provide systematic and dependable follow up, as well as a high level of organization and preparedness

        Assist Construction Managers as needed

        Process Extra Purchase Orders (EPO’s) and complete when necessary or requested using BuildPro/Hyphen Solutions

        Daily communication with vendors to ensure compliance with contract documents, proper billing, approvals, payments

        Reply to requests from vendors, internal departments for payment status

        Follow up phone calls and emails as needed to obtain required information

        Contact vendors for necessary sub permits and save them in appropriate files

        Prepare pre-con binders at the start of each production of home

        Set up new vendors – obtain contact information, contracts, insurance certificates, W-9

        Prepare and process all documents and check requests for TECO, water meters, Certificate of Occupancy, homeowner reimbursements, vendor payments

        Request premise numbers from FPL planners

        Request FPL account numbers from FPL

        Input purchase orders, change orders into LandDev 6x program

        Code and approve invoices, Lot Specific, Construction, Customer Service, Architectural Design, Sales, Marketing, Land

        Communication with utility companies for inquiries, account set ups and/or disconnection of services.

        Send documentation, per request for gas lines and meter sets 

        Create, maintain, and update various spreadsheets (permits, FPL, internal lot lists for communities, closing lists,

        Perform other administrative, duties and clerical tasks as needed

SUPERVISORY RESPONSIBILITIES:

        No supervisory responsibilities are required for this position 

EDUCATION AND/OR EXPERIENCE:

        High School Degree. One year of work experience may substitute for one year of the required education up to a maximum of four years substitution. Where substitution is accepted, applicant must demonstrate increased knowledge-base and progressively more challenging work assignments.

        Minimum of one-year related experience in a similar position, preferably with a high volume builder.
